Edit or View Period Information Dialog Box

The Edit Period Information dialog box appears when you've chosen to edit the settings defined for an existing period. The View Period Information box presents the information in read-only mode and appears when you've chosen to simply view the settings.

Getting to This Dialog Box

  1. From the client's historical statement, right-click in the column head of the period you want to edit.

    Example:  

  2. Select Edit Period Information (or View Period Information to simply view the information without making any edits).

  3. Complete the fields within the dialog box (see section below).

  4. Click OK to close the dialog box.

Field Details

The following table provides information regarding the fields in the Edit Period Information and View Period Information dialog boxes.

Note: You can change settings in the Edit Period Information dialog box only.

Period Date

Click the calendar icon and choose the date representing the end of the period from the drop-down calendar.

Period Length __ Months

Click in this field and type the number of months for the period.

Period Type

Yes

Choose Historical, Budgeted, or Currency from the drop-down list.  You can change this type later if necessary.

  • Historical: The data comes from prepared financial statements and represents the customer's actual performance. Historical is the default data type.

  • Currency: The spreadsheet figures are in a currency other than the default currency.

  • Budgeted: The data is a projection of future figures.

Currency

Yes

Select the currency to use for the period. You will be able to change the currency and convert to a different currency later if necessary.

Quality

Yes

Choose the quality of the financial data in the period from the values listed in the drop-down list.

Short Description

No

Enter a description to distinguish between the current period and others  with the same date, length, type, currency, and quality.

Preparer

No

Select the preparer for the period. Your system administrator defined the options in this drop-down list. (If the preparer you need is not on the list, ask your administrator to add it to the list.)

Analyst

No

This drop-down list consists of all the active users set up in your security.

Last Updated

Automatically recorded

Date the period information was last updated. This field is populated by the system automatically and cannot be modified.

Last Updated By

Automatically recorded

Person who last updated the period information. This field is populated by the system and cannot be modified.

Created Date

Automatically recorded

Date the period information was originally created. This field is automatically populated by the system and cannot be modified.

Created By

Automatically recorded

Person who originally created the period information. This field is automatically populated by the system and cannot be modified.

Currency Conversion Section

Conversion Date

Automatically recorded

A currency conversion has been run on the period; this is the date the conversion took place.

Treatment of Exchange Rate

Automatically recorded

How the exchange rate was treated when it was entered at the time of the conversion (as a multiplier or divider).

Exchange Rate

States whether the rate was entered as an exchange rate at the time of conversion

Conversion Comments

Enter any comments specific to this conversion.

External Comment

No

Indicates if the comments will be shared with departments/organizations outside your own.

Period Status

To add a period status, click the Period Status button at the bottom of the screen.  The Add Historical Period Status Comment dialog box appears.  In the Period Status field, choose a status best describing the period from the drop-down list of options. Then enter any status comments, and also check the External Comment check box if you want these comments to be shared with departments outside of your own.

This feature keeps track of status and its comments: when they were created, the status, and if they are to be shared externally.
