The historical statement page contains the client's spreadsheet. This page is where you work with the client's historical statement.
Note: Please note the concept of view mode versus edit mode. When a historical statement is open in view mode, several options that you may be accustomed to seeing available are hidden because they cannot be used when the statement is read-only.
The historical statement page has two modes:
View mode: The statement is read-only. No modifications can be made to the statement setup or data; therefore, many options (links at the top of the spreadsheet, action menu options, and right-click options) are not visible.
Edit mode: The statement can be edited. Several options that are not visible when the statement is in view mode are now accessible. Important note: Only one user can have a client's statement open in edit mode at a time. When a user has a client's historical statement open in edit mode, the statement becomes locked, which means that all other users can access the statement in view mode only until the first user exits the statement.
When you access the historical statement page from the Search or Recent flyout (as described in the Getting to This Page section), the page will open in edit mode unless the statement is locked by another user. If the statement is locked, you'll see a message telling you it is locked and by whom, and the page will open in view mode.
The title bar of the spreadsheet indicates in which mode you have the historical statement page open:
When you are in view mode, the title bar indicates View Historical Statement for [Client Name].
When you are in the edit mode, the title bar indicates Edit Historical Statement for [Client Name].
If you have the historical statement page open in view mode, you can attempt to open it in edit mode by clicking in the upper-right corner of the spreadsheet and choosing Statement > Switch to Edit Statement. If the statement is not locked by another user, the historical statement page will switch to edit mode. If the statement is already locked, you'll receive a message telling you that it cannot be locked by you for editing.
You can access a client's historical statement page in a number of ways:
Recent or Search flyouts: When using the Search flyout or the Recent flyout to locate and jump to a client, choose Edit Statement as the Go To field on the flyout to jump directly to the client's historical statement page.
If the statement is not locked, the historical statement page opens in edit mode; if another user has the statement locked, the historical statement page opens in view mode. (Click here to jump to the explanation of edit versus view mode.)
If no statement exists for the client, you're prompted to create one.
Creating a statement: When you first create a statement, you're taken to the historical statement page (in edit mode) upon completing the Create Statement and First Period dialog box.
The key component of the historical statement page is the spreadsheet , which displays the client's chart of accounts in the first column (according to the industry selected when the statement was created) and the periods you have selected to appear.
You can act on the spreadsheet in the following ways (remember that your options are limited if you have the historical statement page open in view mode):
Select which periods are displayed.
Modify the statement options selected when the statement was created.
Collapse or expand the historical statement's account individual subdivisions by either using the + or – next to the title, or you can expand all or collapse all at once by clicking in the upper-right corner of the spreadsheet and choosing Collapse All or Expand All from the action menu.
Display cash flow mapping information for each account if desired.
Manipulate account information (remap cash flow, retitle the account, hide the account, access line-specific options, or detail the account), by right-clicking the account title and choosing from the options that appear.
Edit the client profile.
Choose from a number of options available on the action menu, which you access by clicking in the upper-right corner of the spreadsheet.
Use the links at the top of the spreadsheet for additional options, such as:
Save your changes to the spreadsheet by clicking the Save link. (Be sure to save regularly while working.)
Return to the page you were on when you accessed the historical statement page by clicking the Exit link.
Note: Clicking Exit removes the lock on the statement; using Back, closing the browser, or browsing to a different record does not remove the lock.
To go to a specific cell by line number or account title, choose the Find Account link at the top of the screen, which brings up the Find Account dialog box.
